How we collect and process your personal information
The D4P collects personal information about its community members and other customers. We collect personal information on the website, the community portal, via the event registration, conference app and newsletter sign-up page linked to this website. We only have access to/collect information that you voluntarily give us via the website, registration/sign up forms, email and other direct contact from you. With your permission we will make this information to other community members.
With a few exceptions, the information we collect is limited to the kinds of information that can be found on a business card: first name, last name, job title, employer name, work address, work email, and work phone number. We use this information to provide our community members and customers with services, including events, content relevant to Microsoft Dynamics industry, training, and the like. We do not sell personal information to anyone and only share it with third parties who are facilitating or supporting the delivery of D4P services.
- Live Events & Conferences
Members & Event Attendees
The Directions4Partners hosts several live, in-person events throughout the year. These include conferences like the Directions EMEA and Directions ASIA, for example. If you register for one of our events and you are an already registered member our community, we will access the information in your account at directions4partners.com to provide you with information and services associated with the event. You may be asked to provide more information when signing up for an event (e.g. whether it’s your first D4P event, your functional and product interests, and some information about your title and industry).
If it is the first time that you sign up for one of our events, we will collect the following information: name, email, company, title, address, phone number, whether it’s your first Directions4Partners event, meal preferences, and the like.
D4P uses the information provided by event attendees to provide them with the services related to the event, including badge printing, tailoring sessions to meet the audience profile and to determine the sessions likely to require the biggest rooms, and related purposes connected with the event. We also use the information for billing purposes, as some attendees do not pay at the time of registration.
If you are a presenter/speaker at one of our events, we will collect information about you including your name, employer and contact information, and photograph, and we may also collect information provided by event attendees who evaluated your performance as a presenter. We may also make and store a recording of your voice and likeness in certain instances. The D4P relies on a legitimate interest basis for collecting, storing and processing this information.
General (applicable to both Speakers and Attendees)
We keep a record of your participation in D4P events as an attendee or presenter. This information may be used to provide you with membership and event services or to tell you about other events and initiatives. It may also be used to help the D4P understand our community members’ needs and interests to better tailor our services to meet your needs.
Some of our events are sponsored. The D4P provides an attendee list to sponsors, co-sponsors and exhibitors of our events. The D4P may also allow sponsors, co-sponsors and/or exhibitors to send you material by mail once per sponsored event, in which case the D4P engages a third-party mailing house and does not share your mailing address directly with the sponsor/exhibitor. If you do not wish to have your information included in an attendee list or to receive information from sponsors, co-sponsors and/or exhibitors, you can express your preferences when you register for events or you may contact the D4P directly at email@example.com. Sharing your personal information with a sponsor allows you to receive the content for free. We do give attendees a choice not to receive marketing messages from the sponsor or from the D4P.
Exhibitors at D4P events may wish to scan your badge so they can contact you with more information. The D4P uses the “Directions Events App” to provide badge scanning services to exhibitors who request it. By allowing an exhibitor to scan your badge you are consenting to have D4P provide the exhibitor with your contact information, and thereafter you may be contacted by the exhibitor post-event. If you do not wish the exhibitor to contact you, please communicate this directly with the exhibitor at the event or thereafter.
Pictures and Video
We take pictures and videos throughout the request. You may inform the photographer or videographer if you wish pictures or videos of you not to be taken. By accepting this policy, you consent to us using pictures or video material of you on our website and our social media pages. If you wish that the images or video of your participation would not be used, please contact us and we will either anonymize the materials or remove them.
D4P (alone or together with sponsors) offers several web events or webinars throughout the year. Many of them are free to D4P community members. D4P also offers web conferences that are co-sponsored by the D4P and its corporate partners, and these conferences are often free to everyone because of the co-sponsors underwriting. This means that when you register for a co-sponsored web event, you will be providing your registration information to both the D4P and the applicable co-sponsor. All D4P web conference co-sponsors must agree to follow applicable privacy and data protection laws.
Publications & Newsletters
From time to time, D4P makes available content for our community members. In addition to producing original content, theD4P also subscribes to articles, blogs and content produced by others, which we may link to from our website. This means you may find yourself on the D4P website or reading an email from the D4P team and we will offer you a link to another organization’s website (e.g., Microsoft partner) where you will find content on Microsoft partner industry that we find relevant and useful to you. At these times, you will be leaving the www.directions4partners.com website. D4P is not responsible or liable for content provided by these third-party websites or personal information they may happen to gather from you.
You may wish to subscribe to the D4P newsletters. To receive D4P newsletters by email, you will need to create a “profile” with us (if you don’t have one yet) which involves providing the D4P with at least your first name and last name, company name, title, an email address, and the country in which you live. The purpose of processing this data is to have the necessary information to deliver the D4P newsletters by email. The D4P is the data controller of this information, and the processing is managed by NAME (detailed below). The D4P does not share this information with any third party other than to store the information in our cloud-hosted databases. We rely on a contract basis to process your personal information for purposes of fulfilling your request to receive our publications. You may at your own option choose to subscribe to D4P news and updates which may be considered direct marketing.
You may manage your D4P subscriptions by subscribing or unsubscribing at any time. From time-to-time our site may request information via surveys or contests. Participation in these surveys or contests is completely voluntary and you may choose whether or not to participate and therefore disclose this information. Your Correspondence with D4P
If you correspond with us by email, the postal service, or other form of communication, we may retain such correspondence and the information contained in it and use it to respond to your inquiry; to notify you of D4P conferences, publications, or other services; or to keep a record of your complaint, accommodation request, or similar concern. As always, if you wish to have the D4P “erase” your personal information or otherwise refrain from communicating with you, please contact us at email@example.com.
Please Note: if you ask the D4P not to contact you by email at a certain email address, the D4P will retain a copy of that email address on its “do not send” list in order to comply with your no-contact request.
The D4P has a legitimate interest in maintaining personal information of those who communicate voluntarily with the D4P
You may choose to purchase services from the D4P using a payment card. Typically, payment card information is provided directly by users, via the D4P website, into the PCI/DSS-compliant payment processing service to which the D4P subscribes, and the D4P does not, itself, process or store the card information. Occasionally, members or customers ask D4P employees to, on their behalf, enter payment card information into the PCI/DSS-compliant payment processing service to which the D4P subscribes. We strongly encourage you not to submit this information by email. When D4P employees receive payment card information from customers or members by email, fax, phone, or mail, it is entered as instructed and then deleted or destroyed.
Purposes for processing your data
As further detailed above, the D4P processes your data to provide you with the services you have requested or ordered from us, including events, webinars, publications, and other content and training. We use this information to refine our services to better tailor them to your needs and to communicate with you about other services the D4P offers that may assist you in your Microsoft Dynamics business or otherwise help you do your job as a privacy professional. Most of the time, the D4P needs to process your personal data to fulfill an order for services – including event services, with all the attendant benefits and professional opportunities the D4P provides. Sometimes the D4P has a legitimate interest in processing data to better understand the needs, concerns, and interests of D4P community members so the D4P can operate optimally as an association and as a business. And sometimes, the D4P relies upon your consent, in which case we will keep a record of it and honor your choices.
What happens if you don’t give us your data
You can enjoy many of the D4P services without giving us your personal data because a great deal of information on our website is available even to those who are not registered at D4P website. You can also enjoy subscriptions to our newsletters without becoming an D4P member, but you will need to create a profile with or provide information to us which involves providing your name, email, company, title, country and postal code. Some personal information is necessary so that the D4P can supply you with the services you have purchased or requested, and to authenticate you so that we know it is you and not someone else. You may manage your D4P subscriptions and you may opt-in or opt-out of receiving marketing communication at any time.
